Privacy policy

Proveam keeps a shared record of sales between sellers and their customers, and sends customers a receipt for each one. This page explains what we store, why, who can see it, and how to have it removed. It applies to our WhatsApp number, our website and the dashboard pages we send links to.

Proveam is run by PROVE-AM LTD (RC 9881252), a company registered in Nigeria, which is the data controller for the information described here. Using Proveam is also covered by our Terms of Service.

What we store

If you sell with Proveam: your phone number, your business name, your logo, address and tax ID if you add them, the messages you send us, and the sales, payments and cancellations you record, including your customers' names and phone numbers as you give them to us. If you subscribe, we store your subscription status. Payments are handled by our payment provider, we never see your card or bank details.

If you're a customer: your phone number, the name a seller uses for you, the sales and payments a seller records with you, the receipts we send you, and any replies you send us (for example "Not correct" or STOP).

Everyone: each receipt's PDF exactly as it was issued, and whether each message we sent was delivered and read (WhatsApp tells us). If you use WhatsApp with a username instead of showing your number, we store the ID and username WhatsApp gives us, to recognise you.

Why we store it

We don't sell your information, and we don't use it for advertising.

Who can see it

Links: the link to a receipt's PDF works for 3 days, and the "My receipts" link for 7 days. Anyone you forward one to can open it while it works, so share them only with people you'd show the receipt to. The "Check this receipt" code on a PDF shows only what the receipt itself shows about the sale (the business, number, date and amount), never the customer's name or number. The same goes for checking a receipt PDF at proveam.com/verify: the file stays on your device, and only its fingerprint is sent to us.

We use service providers to run Proveam: Meta (WhatsApp) to send and receive messages, Bachs to take subscription payments, and our hosting provider. They process information only to provide their service to us.

Messages we send

The only messages we start with a customer are a receipt for a sale, payment or cancellation a seller recorded with them, and a payment reminder when the seller asks us to send one (at most every few days). Reply STOP at any time to stop receipts, and START to turn them back on. Everything else we send is a reply to a message you sent us.

How long we keep it

Records are kept while the seller uses Proveam, because they're part of the seller's business record and the customer's proof of what they paid. Records are never edited: a correction is saved as a new entry. Our system logs are kept for 30 days, with phone numbers hidden.

Your rights and deleting your data

Under the Nigeria Data Protection Act 2023 you can ask to see the information we hold about you, have it corrected, object to how we use it, or have it deleted. To do any of these, email hello@proveam.com from, or mentioning, the phone number concerned. We'll reply within 30 days.

When you ask us to delete your data, we remove your phone number and name from our records and stop sending you messages. The sales a seller recorded with you are kept, without your details, as part of that seller's business records. Receipt PDFs already issued are kept exactly as they were, so they still show the name printed on them: they are the other person's proof of the sale.

If you're unhappy with how we handle your information, you can complain to the Nigeria Data Protection Commission.

Security

Information is sent over encrypted connections, and access to it is restricted. Dashboard links are private to you and expire.

Changes

If we change this policy, we'll update this page and the date above.
